Best Software for Nurse Injectors in Canada (2026)

For a solo nurse injector in Canada, the realistic shortlist is Jane App, Zdrovia, Aesthetic Record, Square Appointments and Boulevard. Jane (from CAD $59 a month) and Zdrovia (free for one practitioner) both keep Canadian accounts’ data on servers in Canada. Aesthetic Record is built around aesthetic charting. Square handles booking and payments but isn’t a clinical record, and Boulevard is priced for a clinic with a front desk.

The right pick depends on three things: how well it charts injectables, where your patients’ data is stored, and how easily a new client can book you from Instagram or Google. That third point gets the least attention, and it is the one that decides whether your calendar fills. This guide covers all three. We don’t sell any of these products and none of them pays us. Prices below come from each company’s own pricing page in October 2026, and they change often, so confirm them before you sign.

What your software has to do

When you run your own practice, you are the front desk as well as the clinician. Good software takes the admin off your plate so you can stay with the client in your chair. For a solo injector, it has five jobs:

  • Take bookings while you work. Clients pick a time from your live calendar at any hour, get reminders on their own, and pay a deposit for new-client or longer appointments. Every booking request you answer by hand between treatments is time and attention taken from the person in front of you.
  • Collect intake and consent before the visit. The client fills in forms on their phone before they arrive, and the signed copy lives in their chart.
  • Chart what you actually did. Product, units, sites and lot numbers in proper fields, plus before-and-after photos you can compare at the follow-up. A paragraph of free text is hard to search when someone calls with a question two weeks later.
  • Take payment. Card on file, deposits, packages and gift cards, with the invoice tied to the visit.
  • Bring clients back. Rebooking at checkout, reminders for the next appointment, a waitlist for cancellations and a way to ask for reviews.

The last job is the one that pays for everything else. A practice that rebooks its clients and keeps its cancellation slots full needs far fewer new clients to stay busy. We cover that side in detail in our guide to client retention for aesthetic clinics.

The five options side by side

Software Starting price (Oct 2026) Built for Data in Canada
Jane App CAD $59/month (Balance, 20 appointments a month); CAD $79/month for unlimited appointments Clinics in general: physio, massage, chiro, and an aesthetics setup Yes, for Canadian accounts (Montreal and Calgary)
Zdrovia Free for one practitioner; CAD $79/month for three Medical aesthetics practices in Canada Yes, Canadian servers per the company
Aesthetic Record $15 per user per month, plus a $399 startup and onboarding fee Aesthetic and med spa practices Ask in the demo
Square Appointments Free for one location; CAD $35 or $85/month for more features Appointment businesses of every kind Ask Square
Boulevard $143/month for one location, up to 5 providers Salons, spas and med spas with a team Ask in the demo

Aesthetic Record and Boulevard don’t state a currency on their pricing pages; both are US companies, so confirm the currency in your demo. Card processing fees are extra on every platform.

Jane App

Jane is Canadian, and it is widely used in physio, massage and chiropractic clinics, so you may already know it from shared clinic spaces. It also sells an aesthetics setup with branded online booking, a waitlist that texts clients when a slot opens, card on file for your late-cancellation policy, free reminder texts and emails, intake forms, custom charting templates and side-by-side photos. Canadian accounts are stored in data centres in Montreal and Calgary, and Jane lists PIPEDA compliance on its pricing page.

The catch for a solo injector is the entry plan. Balance, at CAD $59 a month, is capped at 20 appointments a month, which a full-time injector can reach within a week or two. Most will need Practice at CAD $79 a month, which removes the cap. The charting is flexible but general, so build a template for your toxin and filler visits during the trial and see whether it records units and sites the way you work.

Zdrovia

Zdrovia is a newer Canadian platform made for medical aesthetics. Its Solo plan is free for one practitioner, with no limit on clients or appointments, and includes face-map charting, forms, booking with reminders, a waitlist, payments and deposits, inventory tracked by lot and expiry, and a patient portal. The company says records are stored on Canadian servers and the platform is built to meet PIPEDA. The Small Practice plan, for up to three practitioners, is CAD $79 a month, with an early-adopter rate of $49 locked for 12 months for anyone who subscribes before January 1, 2027. It adds an AI scribe and chart sign-off.

Being free for a solo practice makes it easy to trial with real visits. Being newer means a smaller user base and less of a track record, so ask about support hours and how you would export your data if you ever left.

Aesthetic Record

Aesthetic Record is built for aesthetics practices. Its features list covers before-and-after photo and video management, procedure charting, medical director oversight, chart sign-off, online booking, service deposits, waitlist management, automated reminders, memberships and a survey and review tool. The Essentials plan is $15 a month per user, plus a one-time $399 startup and onboarding fee that comes with 90 days of guided onboarding.

Its prescribing tools run on a network of US pharmacies, and the company is American, so ask in the demo where Canadian patient records would be stored and get the answer in writing.

Square Appointments

Square Appointments is free for a single location on Square’s Canadian pricing page, with Plus at $35 and Premium at $85 a month per location. Its booking, payments and text reminders are simple and cheap, and many injectors start here. Square sells it as booking and point-of-sale software for any appointment business. It doesn’t advertise injectable charting, so you would keep clinical records and consent somewhere else. Its automated marketing campaigns need a separate Square Marketing subscription.

Boulevard

Boulevard sells a med spa version of its booking platform, with add-ons for forms and photo storage and for e-prescribing. Its Essentials plan is $143 a month for one location and up to five providers, and the forms add-on starts at $65 a month per location. That pricing makes sense for a clinic with a front desk and several providers. For an injector working alone, it is a lot to pay before the first client walks in.

Judge each option by how many bookings it handles while you are with a client, not by the monthly fee alone.

Where your clients’ data lives

Health records are personal information, and Canadian privacy law applies to them: PIPEDA federally, plus provincial health privacy laws such as PHIPA in Ontario. Some provinces and some employers have stricter expectations about data leaving the country. You don’t need to become a privacy lawyer, but you do need to ask every vendor three questions before you move a single chart:

  • Where exactly is my data stored? A city or a country, not “in the cloud”.
  • How is it encrypted, both on their servers and on its way there?
  • How do I get all of it out if I leave, including photos and signed consents?

Jane and Zdrovia both publish Canadian storage for Canadian accounts. With US platforms, ask the question directly and keep the answer. A vendor’s marketing page is not a compliance guarantee, so if you are unsure what applies to you, check with your college or a lawyer. Your college also sets the record-keeping rules for your practice, and our guides to the CNO aesthetic guideline and the BCCNM advertising rules cover what those colleges say about marketing.

Your booking software is part of your marketing

Most comparisons stop at features. Seen from the marketing side, the booking flow is where your ads, your Instagram and your Google profile either turn into appointments or don’t. The best content in the world loses clients if booking takes six taps and a phone call. Here is what to set up once you choose:

  • One booking link everywhere. Put it in your Instagram bio, your Google Business Profile, your website and your ads. Someone who finds you on Instagram at 11 p.m. should be able to book before they close the app.
  • Deposits for first visits. A card on file or a small deposit filters out people who were only browsing, and protects the longer appointments that hurt most when someone doesn’t show.
  • Automatic reminders. Jane, Zdrovia, Aesthetic Record and Square all list them. Turn them on before your first client books.
  • Rebook before they leave. Toxin clients come back every few months. Booking the next visit at checkout is the cheapest marketing you will ever do.
  • A waitlist for cancellations. Jane, Zdrovia and Aesthetic Record all list one. A cancellation that fills itself from the waitlist costs you nothing.
  • Review requests after the visit. Reviews feed your Google Business Profile, and they are also part of what AI assistants read when someone asks them to recommend an injector nearby.
  • Know where bookings come from. Add a simple tag to the booking link you use in each place, so you can see whether your bookings come from Instagram, Google or ads. Without that, you are guessing where to spend next month.

We see this often. The ads work, people click, and the calendar still stays thin because the link in the bio goes to a homepage instead of a booking page.

How to choose in one afternoon

You don’t need ten demos. Pick two platforms from the table, open a trial or book a demo for each, and run the same test in both:

  • Book yourself as a new client from your phone, the way an Instagram follower would, and count the taps.
  • Chart a real toxin visit with product, units, sites and a lot number, and pull it up again as if it were the two-week follow-up.
  • Send a consent form and sign it on your phone.
  • Take a deposit and a payment, and see what the fees are in Canadian dollars.
  • Export a client record, photos included, to see how easy leaving would be.
  • Ask where the data is stored, and keep the answer.

If one of them passes all six and fits your budget, stop looking. Switching later is possible, but moving charts and photos is real work, so choose for where you expect to be in two years. If you plan to bring on a second injector, check what the second user costs now. Our guides to starting a nurse injector business and scaling past your own calendar cover the decisions on either side of this one.

Frequently asked

What software do nurse injectors use in Canada?
The common choices are Jane App, Zdrovia, Aesthetic Record, Square Appointments and Boulevard. Jane and Zdrovia are Canadian and store Canadian accounts’ data in Canada. Aesthetic Record and Boulevard are US platforms built for aesthetics and med spas. Square is often used for booking and payments alongside a separate charting system.

Is Jane App good for nurse injectors?
It works well for injectors who want Canadian data storage and solid booking, reminders and payments. Its entry plan is capped at 20 appointments a month, so most solo injectors need the CAD $79 Practice plan. The charting is general, so build a template for your injectable visits during the trial.

Do nurse injectors need an EMR?
You need a proper clinical record that meets your college’s documentation rules, with consent, product, units, sites and lot numbers. A booking app alone usually doesn’t cover that. An aesthetics EMR, or a clinic platform with good charting, keeps the record and the booking in one place.

How much does nurse injector software cost?
As of October 2026, from free (Zdrovia’s Solo plan, Square’s free plan) to about CAD $79 a month for Jane’s unlimited plan, $15 per user per month plus a $399 onboarding fee for Aesthetic Record, and $143 a month for Boulevard. Card processing fees come on top.

Does my patient data have to stay in Canada?
Canadian privacy law applies to health records, and some provinces and employers expect data to stay in Canada. Ask every vendor where your data is stored, how it is encrypted and how you can export it, and check with your college or a lawyer if you are unsure.

Can my booking software help me get more clients?
Yes. It won’t find clients for you, but it decides how many of the people who find you actually book. One booking link everywhere, deposits, reminders, rebooking at checkout, a waitlist and review requests all turn more of the people who already found you into appointments.

Choosing software is one part of building the business. When you are ready to fill the calendar it organizes, our nurse injector marketing page explains how we work with injectors, and our guide on when to hire marketing help covers when doing it yourself still makes sense.

What clinic owners say

Real reviews from aesthetic clinics and nurse injectors we've worked with. Read them all on Google.
When I first started, I was a solo provider wearing every single hat. I was the injector, receptionist, marketer, content creator, scheduler, and everything in between. I’ve gone from being a solo provider to owning a large, thriving practice with a team of staff under me — and she has been such an important part of that journey.

She tells you how it is and tells you what you need to hear in order to thrive. I started my business in a small room and she helped me scale to opening up my very own brick and mortar. I’ve had bad experiences in the past with previous marketing agencies and based on experience none of them cared about your business the way she does.
